·         Schedule and organize logistics of meetings for NEAS board, audit committees, Nanuk board, Management meetings; Manage any required circulation of information, signatures, etc.

·         Prepare notice and agendas for meetings, recording secretary for meetings and prepare minutes

·         Receptionist and Telephone

·         Make travel arrangements for Management employees

·         Manage agendas

·         Order business cards, company paper, etc.

·         Coordinate logistics for trade shows, such as register participants, sponsorships.

·         Coordinate logistics for annual training program for crew members

·         Organize annual Christmas party, any Vessel Inauguration event, Recognition of Years of Service event, etc.

·         Register management for any training course and/or conferences

·         Renewal of business licenses and registrations with different governmental organizations

·         Subscription and membership renewals.


Compétences requises:

• Ability to multi-task and meet multiple or expected deadlines in a demanding environment
• Have a good understanding of Corporate governance (minutes, resolutions)
• Good knowledge of Microsoft Office (Word, Excel and PowerPoint)
• Demonstrates sound judgement regarding confidential and sensitive matters
• Willing to work longer hours when needed
• Proactive problem-solving approach and excellent decision-making skills
• Excellent ability to grasp issues quickly, identify priorities and deliver on time
• Excellent communication skills to facilitate effective communication with employees
• Ability to participate as an effective team member, supporting departmental/organizational goals and objectives
• Effective analytical skills, meticulous attention to detail and ability to work under pressure
• Strong organizational skills, good planning and time management ability
• Fluent in English and French, oral and written
• Ensure the quality of information and/or translation of documents
